# Power Automate Cloud Flows — Best Practices & Limitations Reference
### Current as of July 4, 2026

This is a consolidated, standalone reference pulling together the best practices and platform limitations called out throughout Projects 1-9. Use it as a checklist when reviewing any cloud flow before it goes to production — not just the ones in this repo.

## 1. Design & Authoring Best Practices

- **Choose the narrowest trigger available.** "When a file is created" instead of "created or modified" if you only care about new files; a targeted recurrence schedule instead of an overly frequent one. Fewer unnecessary runs means lower cost, less throttling risk, and cleaner run history.
- **Name every action and scope meaningfully.** Default names ("Condition", "Apply to each 2") become unreadable past 5-10 actions. This is free, has zero downside, and is the single highest-leverage habit in this list.
- **Filter before you loop, not inside the loop.** Use Filter array/OData filter queries to reduce a dataset before an Apply to each, rather than wrapping every iteration in a Condition that skips most of them.
- **Compose intermediate values** at key points in a flow so run history shows exactly what shape your data was at each step — this is the single biggest lever for fast debugging.
- **Use Switch instead of nested Conditions** once you have three or more branches — readability compounds in value as flows grow.
- **Always cap Do until loops with both a condition and a hard iteration limit** — never rely on the exit condition alone to prevent a runaway loop.
- **Turn off unnecessary Apply to each concurrency** when iterations write to a shared variable or aren't truly independent, to avoid race conditions.
- **Version reusable child flows explicitly** (`-v1`, `-v2`) and define clear input/output contracts — treat them like you would an internal API.
- **Review AI Builder/Copilot output before trusting it** — confidence-gate any AI classification that drives an autonomous action, and document which parts of a flow were Copilot-generated vs. hand-built.

## 2. Reliability & Error Handling Best Practices

- **Use the Scope-based Try/Catch/Finally pattern** for any flow where failure has real business cost (financial transactions, external-system writes, anything customer-facing).
- **On "Configure run after," check all relevant statuses** — has failed, has timed out, is skipped — not just "has failed." Checking only one status is a common, dangerous oversight.
- **Tune retry policies per action**, based on that specific connector/API's known behavior, rather than relying on one blanket default across a whole flow.
- **Log exceptions to a durable table** (Dataverse, SQL) independent of Power Automate's own run history, which has a retention window. This becomes your dead-letter queue and your source of truth for "what keeps failing."
- **Design compensating logic explicitly** when partial completion inside a Scope is unacceptable — Power Automate does not automatically roll back prior successful actions when a later action in the same Scope fails.
- **Add circuit-breaker safeguards** for calls to external systems prone to outages — stop retrying and escalate after N failures in a time window, rather than continuing to hammer a system that's down.

## 3. Integration & Security Best Practices

- **Use Azure AD/OAuth authentication over static API keys or bearer tokens** for any HTTP action calling a secured external API.
- **Never assume HTTP 200 means business-logic success** — parse and check the actual response payload when the API supports a success/failure indicator.
- **Run production flows under a Service Principal (Application User)**, never a named employee's personal account — personal-account-owned production flows are a common, entirely avoidable source of outages when people change roles or leave.
- **Use connection references and environment variables** for any solution-aware, multi-environment flow — hardcoded connections are the most common reason "it worked in Dev" fails in Prod.
- **Plan for on-premises data gateway failover** (a gateway cluster) for any production-critical flow depending on on-premises connectivity — a single gateway machine is a single point of failure.

## 4. Governance & ALM Best Practices

- **Build inside a Solution from day one**, not loose in the default environment — retrofitting solution-awareness onto a mature, tangled set of flows is materially harder than starting there.
- **Treat Solution Checker findings as a blocking gate**, not an optional cleanup pass, before promoting to Test or Prod.
- **Design DLP policy around what your flows actually need**, and review it whenever policy changes, since a connector reclassification can retroactively break existing flows.
- **Decide between per-user Premium licensing and a Process license deliberately**, flow by flow — a flow that functions as shared infrastructure for many people is usually a Process-license candidate.
- **Maintain a flow/solution inventory** using the Power Platform admin center's expanded inventory details — know what depends on what before you change or deprecate anything.

## 5. Continuous Improvement Best Practices

- **Model business processes as objects, not flat cases**, when using process mining — a purchase order, an invoice, and a payment are related but distinct objects with real one-to-many relationships that a single-case model distorts.
- **Validate AI-generated process insight summaries against the underlying model** before presenting them — treat Copilot in Process Mining as an accelerant for analysis, not a substitute for it.
- **Turn every process-mining finding into a scoped, quantified recommendation** ("this step averages 3.2 days, driven by X, a targeted fix would likely save Y%") rather than a vague directive — this is what gets funded.
- **Re-run process mining periodically** to confirm your automation investments actually moved the KPIs you targeted, rather than treating it as a one-time audit.

## 6. Platform Limitations to Design Around

### Triggers & timing
- Most connector-based triggers (SharePoint, Excel, etc.) **poll on an interval** rather than firing instantly — don't design a "must fire within seconds" requirement on a polling trigger.
- **Recurrence triggers default to UTC** — always set the timezone explicitly, or you'll get "why did this run at the wrong time" bugs.

### Loops & data size
- **Apply to each has configurable concurrency** (parallel iteration) — a real risk for iterations that share state, and a real opportunity for iterations that don't.
- **Do until loops have a maximum iteration count and timeout** enforced by the platform — design your batch size so you can never need more than the platform allows.
- **Very large arrays can hit action input/output size limits** — for genuinely large datasets, prefer pagination or a Dataverse-based approach over a single in-memory array.

### Connectors & throttling
- **Every connector has its own per-connection throttling limits** (requests per time window) — a flow that fires on every change in a high-volume data source can hit throttling; scope triggers narrowly and batch where possible.
- **Premium connectors (HTTP, SQL Server, Dataverse premium features, custom connectors) require appropriate licensing** — either a Premium/higher user license for whoever the flow runs under, or a Process license for the flow itself.
- **The on-premises data gateway is a single point of failure by default** — a single gateway machine has no redundancy unless you build a gateway cluster.

### AI & Copilot capabilities
- **AI Builder's seeded per-user credit allocation (5,000 credits) is being removed on November 1, 2026** — usage transitions to Copilot Credit billing after that date; budget for this change now for any flow relying on AI Builder.
- **Copilot in cloud flows can't edit certain flow types**: non-OpenAPI (legacy) connections, flows containing comments, certain hybrid triggers (e.g., "When a flow is run from business process flow (Dataverse)", Teams "For a selected message" or "On Compose Message" triggers pending wider rollout, Microsoft 365 Compliance Connector triggers), and flows with a Power Apps V1 trigger.
- **Copilot in cloud flows is optimized for English** with limited support in other languages.
- **Copilot's regional availability depends on GPU-enabled regions** (UK, Australia, US, India have it on by default); other regions require an admin to enable cross-geo data sharing, and disabling it tenant-wide requires Microsoft Support.

### Reliability
- **Scopes do not automatically roll back prior successful actions** when a later action in the same Scope fails — any required compensating/rollback logic must be built explicitly.
- **Flow run history has a retention window** — don't rely on it as your only audit trail for anything with compliance or long-term diagnostic value; log critical state to Dataverse/SQL independently.

### Process Mining
- **Object-centric process mining has a steeper learning curve** than traditional single-case mining — budget real ramp-up time for your team.
- **Model quality is entirely dependent on event log completeness and timestamp accuracy** — garbage event data produces a misleading model regardless of how sophisticated the mining tooling is.
- **Correlation in a process model is not automatically causation** — treat every surfaced bottleneck as a hypothesis to investigate, not an automatic root cause.

## 7. Licensing quick-reference (as of July 2026)
